Business Support - Apprentice - Temporary for 18 months Level 3 Salary: Level 3 - Band 2 - £15,276 p.a.

The Children and Families Services supports and protects Portsmouth's most vulnerable children and young people enabling them to lead safer, healthier and more fulfilling lives. It also acts as the corporate parent for the city's Looked After Children.

The apprentice post is situated in a satellite office (north of the city of Portsmouth). This apprentice post will be part of a Business Support team supporting the North Locality team of Social Care practitioners whom provide intervention with children and families in need (including those in need of protection) and court proceedings.

It is a varied, busy and challenging role. If you want to develop and be part of a team and wants to do a worthwhile job this could be the opportunity for you.

The role 1. Scanning correspondence onto ESCR (electronic filing system). 2. Data entry on CCM (In-house case holding Database). 3. Administering the collection and presentation of service performance information. 4. Dealing with incoming telephone and email enquiries. 5. Sorting/signposting/actioning incoming and outgoing post. 6. Booking appointments and arranging meetings. 7. Administering training courses/events/conferences. 8. Accurately maintaining files and documentation. 9. Printing of reports for meetings. 10. Collating relevant statutory statistical information. 11. Carrying out all necessary word processing, spreadsheets, database and presentation duties. 12. Updating spreadsheets and work stream trackers. 13. Dealing with all correspondence, including confidential information. 14. Drafting correspondence to standard enquiries. 15. To build up to minute taking complex meetings. 16. Any other tasks to correlate with the Level 2 Business Administration apprenticeship modules.

Who is the person?

You need to have:

1. Experience of working in an administrative role would be desirable. 2. The ability and confidence to talk to customers and to deal sensitively with concerns/anxieties of parents/carers. 3. Data entry skills. 4. A good working knowledge of Microsoft Office, including Word, Excel, PowerPoint and Outlook. 5. Good numeracy and literacy skills. 6. Good communication skills. 7. A customer-focus (internal and external). 8. The ability to collate information. 9. A good attention to detail and level of accuracy. 10. The ability to work flexibly to meet the requirements of the team and wider service (including working within Locality Teams across the city). 11. The ability to prioritise your workload and work to deadlines. 12. Have empathy for others as you will be dealing with some difficult and upsetting situations. 13. To have strong organisational skills. 14. An awareness of Data Protection and Confidentiality Issues.
